UPLOAD A DOCUMENT REQUESTED

BoardiGO makes it easier and faster to **build a board pack**, a kit of documents that encourages your board to deliberate in a solution-oriented way, evaluate the risks and make thoughtful and correct decisions. With BoardiGO, the Corporate Secretary can request –directly from the platform– one of these documents for use at your next board meeting.

1. If you receive a document request, click on **the link in the email you received**. A box on the BoardiGO platform will allow board members to submit the requested documents.
2. **Click on the box** to search and choose the document, or **drag and drop** your document. 
3. **Confirm** the uploaded document. Your document will be saved in the meeting agenda and will be available to all board members. 
4. In case of error, you can **change** the document. 

The necessary tools to carry out every stage of the meeting —from distributing and signing documents, to voting and communicating with your fellow board members— all in one convenient location.

JOIN AN E-MEETING

BoardiGO is the virtual meeting room that enables you to simplify your board meetings. BoardiGO provides you with the necessary tools to carry out every stage of the meeting—from distributing, reviewing and signing documents, to voting, recording results, and communicating with your fellow board members—all in one convenient location. Join the virtual boardroom.

1. Go to the **BoardiGO dashboard**.
2. Click on the **Upcoming & Pending** section.
3. Click on **Meetings**.
4. Click on the **Join meeting** button of the meeting.
5. Follow the **meeting outline**, which will be managed by the administrator. 
6. Click the **Leave the meeting** button when the meeting is over.

SYNCHRONIZATION OF MEETING INVITATION

The increasingly common presence of different board members' profiles and their separate geographic locations has created a time management complexity when scheduling meetings. **Managing time effectively** is therefore crucial in organizing board members' schedules, ensuring that each member has been well scheduled and notified about their next board meeting. 

BoardiGO allows you to **automatically schedule your next board meeting** and **synchronize it** with your **daily calendar**. No need to check for meeting details or agenda within the platform, but directly in your calendar (e.g. Google Calendar or Outlook calendar).

1. When you receive an **email invitation** to your next board meeting, be sure to **read** and **accept it**. It will automatically be added in your calendar. 
2. If you need to see more details—such as the **BoardPack documents**—the invitation will provide a link that takes you **directly to the BoardiGO platform.**

RESPOND TO A SCHEDULING POLL

BoardiGO offers an **availability request tool** for scheduling board meetings without the need to send endless emails back and forth to agree on a date. This helps to increase your productivity and save time from the preparation of the meeting.

1. Go to the **BoardiGO dashboard.**
2. Click on the **Upcoming & Pending** section.
3. Click on **Meetings**.
4. Find the meeting that shows the **Suitable dates** button.
5. **Check the box** with the possible dates of availability.
6. **Confirm** your choice.
7. A confirmation email will be sent once the administrator has chosen a **final date**. 


With BoardiGO, members can contribute directly to the creation of the minutes by leaving comments that reflect exactly what they want to say. They will automatically be recorded in the official minutes.

LIVE “FOR THE RECORD” COMMENTS

The most important details of the discussions and decisions made during a board meeting **will be recorded in the minutes** to ensure legal compliance, alignment of decisions made with the organization's bylaws and monitoring of procedures. With BoardiGO, **members can contribute directly** to the creation of the minutes by leaving comments that reflect exactly what they want to say without being misinterpreted. These comments will automatically be recorded in the official minutes.

1. When the meeting is in progress and an item is activated, **members can write their comments** in the comment box. 
2. You can **write as many comments** as you like*. 
3. You can **leave comments** on each agenda item.
4. The comments will be **visible live** to all meeting members and the administrator.

*It should be noted that this is **not a chat tool**, but rather a place to record ideas or motions that the member wants to leave in the minutes.

**Live Signature**

1. When the item is activated, click on the **Sign this document** button.
2. **Download** the document for review.
3. **Validate your signature** with biometric verification (facial recognition or fingerprint) of your device. If it does not have features for this purpose, you will be able to validate it by SMS.
4. **Confirm** your signature. 
5. You will be able to consult the **list of signatories**.

**Live vote**

1. When the item is activated, **click on the option** you wish to choose: Against, Abstain, For.
2. **Validate your decision** with the biometric verification (facial recognition or fingerprint) of your device. If your device does not have features for this purpose, you will be able to validate it by SMS.
3. **Confirm** your vote. 
4. You will be able to consult the **results of the motion** and the **list of voters**.

Signatures and votes can be done synchronously (in the live meeting) or asynchronously through a Circulation. This makes it possible to avoid an unnecessary meeting for this purpose.

RESPOND TO CIRCULATIONS: SIGNATURE/VOTE

Signatures and votes can be done synchronously (in the live meeting) or asynchronously through a Circulation.  This makes it possible to avoid an unnecessary meeting for this purpose, and it facilitates the signing and voting process. With its unique flexibility, BoardiGO allows board members to easily sign and/or vote on documents and motions, during or after meetings. 

**Signature circulation**

1. Go to the **dashboard** of your organization.
2. Click on the **Circulations** tab. 
3. Select the **signing item**.
4. **Download** the document to review it before signing it. 
5. Click on the **Sign document** button at the top right. 
6. **Validate your signature** with biometric verification (facial recognition or fingerprint) from your phone device. If your phone device does not offer such features, it will send a text message with a verification code. 
7. **Confirm** your signature.
8. You can download the **e-signed document** with a **binder**. 

**Vote circulation**

1. Go to the **dashboard** of your organization.
2. Click on the **Circulations** tab. 
3. Click on the **voting item** to cast your vote.
4. Select your **voting option**: *Against, Abstain, For.*
5. **Validate your decision** with biometric verification (facial recognition or fingerprint) from your phone device. If your phone device does not offer such features, it will send a text message with a verification code. 
6. The **summary of the vote** taken will be visible on the dashboard. 
7. **Download** the advanced voting proof.
8. This ZIP contains three types of documents that irrefutably **prove the veracity** of the vote cast : Types of documents: PDF, JSON, ASIC.

To obtain a BoardiGO account, you must be **invited by the organization's administrator**. 

1. Accept the **BoardiGO invitation** sent by email. 
2. **Fill out the form** with your personal data: Last name, first name, email, phone number. All essential to create an account and **verify the user's identity**.
3. **Create a password** using the requested characters: at least 8 characters, one uppercase, one lowercase, one number, one special character. 
4. **Read** and **accept** the terms and conditions. 
5. Click on **Create account**.

4. Find the meeting that shows the **Get board pack** button and click to download it. The board pack is a document that brings together in a single PDF all the documents and reports submitted by the different board members.

3. From the search results, either **export all documents** or **select specific ones**.
4. An email containing a **download link** will be sent to you.
5. Download the **ZIP folder** to your device.
